Pause Before You Paste

AI can be incredibly helpful when you give it enough information to understand what you’re trying to do.

But there’s an important question to ask before you start sharing information:

Does AI really need to know this?

The more we use AI in everyday life, the more likely we are to type, paste or upload personal information without thinking about it.

That doesn’t mean you should be afraid to use AI.

It means you should develop a simple habit of pausing before you share.

What Counts as Personal Information?

Personal information is information that could identify you, describe you or reveal something private about you.

That can include things like:

Your full name

Home address

Phone number

Email address

Identification numbers

Passwords

Bank details

Private documents

It can also include information about other people.

The important thing isn’t to memorise a long list.

It’s to recognise when the information you’re about to share is personal or private.

Does AI Really Need to Know?

Before you paste something into AI, pause and ask:

“Does AI really need this information to help me?”

Often, the answer is no.

If you’re asking AI to rewrite an email, it probably doesn’t need the person’s full name, phone number or home address.

You can remove those details or replace them with:

[Name]

or

[Address]

This lets AI do the useful part of the job without giving it information it doesn’t need.

A good habit is:

Share what AI needs — not everything you have.

Be Careful With Sensitive Information

Some information deserves an extra level of caution.

This could include:

Passwords

Banking details

Identification numbers

Medical records

Private legal documents

Confidential workplace information

If you’re unsure whether something is safe to share, leave it out until you know whether it’s necessary.

You can often describe the situation without providing the actual private details.

For example:

“I have a list of monthly transactions and want help organising them into categories.”

AI can help with the task without needing to see all the private information behind it.

Think Before You Upload a Document

AI tools can sometimes work with documents, images and other files.

Before uploading a file, take a moment to look at what’s inside it.

A document that seems harmless might also contain:

Names

Addresses

Account numbers

Signatures

Contact details

or other private information.

Ask yourself:

“Could I remove anything personal before I upload this?”

If you can, make a copy first and remove information that AI doesn’t need.

Don’t Forget About Other People’s Information

It’s not only your own information you need to think about.

You may have access to:

A friend’s personal details

A customer’s information

A colleague’s private message

A family member’s documents

Just because you have the information doesn’t mean you should automatically share it with AI.

Ask yourself:

“Would they be comfortable with me sharing this?”

If AI doesn’t need the identifying details, remove them.

Being careful with other people’s information is part of being a responsible AI user.

Make “Pause Before You Paste” a Habit

You don’t need to become an expert in privacy to use AI safely.

You just need a simple habit:

Pause before you paste.

Before sharing text, uploading a document or entering personal information, take a few seconds to ask:

“Does AI need this?”

If the answer is no, remove it.

If you’re not sure, leave it out until you know whether it’s necessary.

This small pause can become one of your most useful AI habits.

Let’s Make It Practical

Think of something you might normally give to AI.

It could be an email, a document, a photograph, a message or some information you want help organising.

Before sharing it, stop and look at what you’re about to provide.

Ask yourself:

What personal information is included?

Then ask:

Does AI actually need all of it?

Remove anything that isn’t necessary, or replace identifying details with:

[Name]

[Address]

[Company]

You’ve just practised one of the simplest ways to use AI more safely:

Pause before you paste.

What You’ve Learned

Using AI safely isn’t about being afraid of it.

It’s about being thoughtful about what information you share.

Remember:

  • Recognise personal information.
  • Ask whether AI really needs it.
  • Be especially careful with sensitive information.
  • Check documents before uploading them.
  • Respect other people’s private information.
  • Pause before you paste.

You don’t have to stop using AI to protect your privacy.

You simply need to make good decisions about what you share.

You’ve now learned to think before you share and check before you trust.

So where can you start using AI safely and practically in your own life? Let’s bring AI into everyday life.
