AI isn’t only useful at home.
It can also help you save time, organise your work and make some everyday tasks easier.
You don’t need to be an AI expert or work in technology to benefit from it.
Whether you’re writing emails, planning a project, preparing for a meeting or organising a busy day, AI can sometimes help you get started, think things through or work more efficiently.
The important thing is to use AI as a helpful tool while keeping your own judgement in control.
Start With the Tasks That Take Too Long
Think about the things you regularly do at work that take more time than they should.
It might be writing similar emails, summarising information, organising notes, preparing meeting agendas or turning a long list of tasks into a plan.
These are often good places to explore whether AI can help.
Instead of asking:
“How can I use AI at work?”
try:
“Which part of my work takes up time without adding much value?”
That question can help you find practical opportunities where AI might save you time.
AI Can Help With Emails and Messages
AI can help you draft, rewrite, shorten or improve an email while keeping your original message.
For example:
“Please make this email clearer and more professional, but keep it friendly.”
You can also give AI a rough list of the points you want to include and ask it to turn them into a draft.
Remember:
You are still in control of the conversation.
Read the result before sending it and make sure it says what you actually mean.
AI Can Help You Organise Information
Work often involves dealing with more information than we can easily keep track of.
You might have meeting notes, a long email, a list of ideas or several documents that need to be organised.
AI can help you summarise information, group ideas, identify key points or turn notes into a clearer structure.
For example:
“Can you organise these notes into key decisions, action items and questions that still need to be answered?”
Don’t assume AI has understood everything perfectly.
Check important information before you rely on it.
AI Can Help You Prepare
AI can help you get ready for a meeting, presentation, interview, difficult conversation or important discussion.
For example:
“I have a meeting tomorrow about a project that is falling behind. Help me prepare the questions I should ask and the points I should be ready to discuss.”
AI can help you think through possibilities and make sure you haven’t forgotten something important.
You still need to bring your own knowledge and judgement to the situation.
AI Can Help You Break Big Tasks Into Smaller Ones
Sometimes a task feels difficult simply because you don’t know where to start.
AI can help turn a large task into smaller, more manageable steps.
For example:
“I need to prepare a presentation for next week. Help me break the job into smaller tasks and suggest a sensible order.”
Use the result as a starting point, then adjust it to suit your priorities and deadlines.
AI Can Help You Generate Ideas
AI can help you brainstorm ideas, questions, approaches or possible solutions.
For example:
“I’m trying to improve the way our team handles customer enquiries. Give me some ideas we could consider.”
You don’t have to use the ideas exactly as AI gives them to you.
Use them to get the conversation started, then apply your own experience and knowledge to decide which ideas are actually useful.
Be Careful With Work Information
Before you paste work information into AI, remember Lesson 6:
Pause before you paste.
Work documents and messages may contain customer details, employee information, passwords, financial information or confidential business information.
AI doesn’t need to see private information simply because it appears in the document you’re working with.
Remove or replace information that isn’t necessary for the task.
And if your workplace has rules about using AI, make sure you understand and follow them.
Let’s Make It Practical
Think of one task you regularly do at work that takes more time than you’d like.
It could be writing emails, organising information, preparing for meetings, creating a plan or getting started on a difficult task.
Ask yourself:
“Could AI help me with part of this?”
If the answer is yes, try asking AI to help.
Give it enough context to understand what you’re trying to achieve, then review what it gives you.
Ask:
Did this actually save me time or make the task easier?
If it did, you’ve found one practical way AI can support your work.
What You’ve Learned
AI can be a useful work and productivity tool when you use it thoughtfully.
You can use AI to:
- Write and improve emails
- Organise information
- Prepare for meetings and discussions
- Break large tasks into smaller steps
- Generate ideas
- Save time on repetitive tasks
But remember:
Give AI enough context.
Check important information.
Protect personal and confidential information.
Keep your own judgement in control.
The goal isn’t to let AI do your job for you.
It’s to use AI where it can help you work more effectively, while you remain responsible for the result.
AI can be a brilliant productivity partner. But a good partner shouldn’t do all the thinking for you — and that’s an important skill we’ll explore next.
